Legal
Privacy policy
This policy describes how information may be handled in connection with the Occurrences mobile application (“the App”) and the product website. It is intended for a general audience, including users and sponsoring organisations. You should read it alongside your organisation’s own policies, which may impose additional requirements.
Who this applies to
The App is typically provided to authorised users through an organisation (for example, a public-sector employer or partner agency). That organisation may act as the controller of operational data you enter or generate in the App.
Information the App may process
Depending on how your organisation configures and uses the App, processing may include:
- Account or sign-in details your organisation requires (such as identifiers used to authenticate you).
- Operational content you create or submit in the course of using the App (for example, notes or records related to occurrences), and related metadata such as timestamps.
- Technical information needed to run and secure the service, such as device type, operating system version, app version, and diagnostic or error information.
We do not use this policy to list every field or screen in the App; your organisation can explain what you are expected to record.
How information may be used
Information may be used to provide the App’s features, maintain and improve reliability and security, support users (including your organisation’s IT or help desk), meet legal or professional obligations that apply to your organisation, and comply with lawful requests where required.
Sharing
Data may be shared with service providers that host, secure, or support the App or related systems, under contract and appropriate safeguards. It may also be shared where your organisation directs (for example, with other parts of the same organisation or partner agencies according to policy), or where the law requires.
Retention
How long information is kept depends on your organisation’s records-management rules, applicable law, and the purpose for which the data was collected. Specific retention periods should be confirmed with your organisation.
Security
Reasonable technical and organisational measures are applied to protect information against unauthorised access, loss, or misuse. No method of transmission or storage is completely secure; users should follow device and account security guidance issued by their organisation.
Your rights
Depending on where you live and your role, you may have rights to access, correct, or delete certain personal information, or to object to or restrict some processing. Many requests must be handled by the organisation that controls the data. For questions, contact your organisation in the first instance, or use the contact below if you are directed here for product or website-related privacy enquiries.
Children
The App is not intended for children to use outside of an organisation’s authorised operational context. Organisations should ensure use complies with applicable rules for minors.
Changes
This page may be updated from time to time. The “Last updated” date at the top will change when material edits are made. Continued use of the App or this site after changes constitutes acceptance of the updated policy where permitted by law.
